Human Resources Compliance Coordinator
Position Summary
The Human Resources Compliance Coordinator supports the university's mission by assisting in the alignment of HR practices with federal and state employment laws, accreditation standards, collective bargaining agreements (where applicable), and higher education–specific regulatory requirements. This position provides support across campus for compliance guidance, operational risk mitigation, and policy administration.
Reporting to the Vice President of Human Resources, the HR Compliance Coordinator collaborates with internal HR teams, Payroll, and other campus partners. The role contributes to fostering a culture of ethical conduct and accountability within the university community.
Key Responsibilities
Regulatory Compliance & Policy Support
- Assist in monitoring and interpreting federal, state, and higher education employment regulations (e.g., FLSA, FMLA, ADA, Title IX, Clery, EEOC, ACA, state wage laws) and their implications.
- Support the development, revision, and maintenance of HR policies and procedures to ensure alignment with legal requirements, accreditation standards, and university values.
- Help prepare for and participate in periodic compliance audits across HR functions—including I-9 verification, personnel file maintenance, and leave administration—documenting findings.
- Assist with compliance for academic and athletic camps, including background checks and required documentation.
- Provide support for HR compliance training and informational materials for supervisors and staff.
- Review Tuition Waiver Requests for staff, faculty, and dependents, and follow up as needed for work-hour considerations.
- Help monitor Staff Teaching schedules for compliance with university policy and workload guidelines.
- Process Public Service Loan Forgiveness (PSLF) employment certification requests in accordance with federal requirements.
Records Management & Information Requests
- Assist in coordinating legal hold processes with relevant departments.
- Support the HR liaison function for subpoenas, discovery requests, and document production related to employment or student employment matters.
- Maintain compliant retention and destruction practices for personnel files, investigation records, and sensitive HR documentation.
Wage Garnishments & Court Ordered Actions
- Administer wage garnishments, child support orders, tax levies, and other court-mandated payroll deductions for faculty, staff, and student employees.
- Collaborate with Payroll to ensure accurate, timely processing and strict confidentiality.
- Support the monitoring of regulatory changes and assist in updating internal procedures and campus guidance.
Risk Administration & Institutional Compliance Support
- Assist in identifying HR-related risks and support the development of mitigation strategies.
- Help prepare for internal and external audits conducted by various agencies and compliance offices.
- Prepare compliance and risk-related reports for HR leadership.
- Support cross-functional risk initiatives and policy impact assessments.
- Contribute to HR-related business continuity planning efforts.
Training, Education & Campus Engagement
- Assist in developing and delivering training on compliance topics such as anti-discrimination, workplace conduct, and policy updates.
- Serve as a point of contact for HR compliance questions, offering guidance as directed.
- Support initiatives that promote ethical behavior and transparency on campus.
Vendor and Data Privacy Support
- Assist in reviewing HR-related vendor agreements for compliance risks and data privacy considerations.
- Support collaboration with external Legal Counsel, Procurement, and ITS on contract-related tasks.
- Help ensure third-party systems handling employee or student employee data meet university security standards and privacy expectations.
Qualifications
- Bachelor’s degree required.
- 2-4 years of HR experience, with some exposure to compliance or risk management tasks, ideally within higher education or a regulated environment.
- Familiarity with employment law principles and general regulatory obligations.
- Experience assisting with audits or policy reviews is a plus.
- Demonstrated ability to handle sensitive information confidentially.
- Good communication, analytical, and problem-solving skills.
- Ability to work effectively across different university units.
- Proficiency with HRIS systems and comfort learning new technologies.
Work Schedule
Monday through Friday from 8:30 a.m. to 5:00 p.m.
Summer: Monday through Thursday from 8:00 a.m. to 5:30 p.m.
